Door staff: scanning at the entrance

Printable guide for staff — QR scanning, manual lookup, offline mode, and what to do when scans fail.

Use this guide on event day. Organizers can share the link or print this page for every person with a scanner.

Your job

Check guests in as they arrive by scanning their QR code. If scanning fails, look them up by name or email.

Open the scanner (2 minutes)

  1. On your phone, open the scanner at aizupass.com/scanner (sign in if prompted).
  2. Select the correct event if you belong to more than one.
  3. Tap Start Scanner and allow camera access when asked.
  4. Test once before doors open — scan your own QR, or use Demo codes (green / yellow / red test codes).

Scan a QR code (normal flow)

  1. Ask the guest to show their QR code (email or invite).
  2. Ask them to turn screen brightness to maximum.
  3. Hold your phone about 4–6 inches from their screen.
  4. Keep steady for 1–2 seconds until you hear a sound and see a full-screen result.

Tips: Use the torch in dim light. Tilt either phone slightly if you see glare. USB or Bluetooth keyboard-wedge scanners work without the camera — click the name search field first if you need to type.

Manual lookup (when QR fails)

  1. Scroll to Or check in by name on the scanner page.
  2. Type at least two characters of their name or email.
  3. Tap the matching guest, then Check in.

If they are not on the list, send them to the registration table — an organizer can add them from the admin workspace.

Rules of thumb

Do:

  • Use manual lookup after two failed scan attempts.
  • Keep scanning if Wi‑Fi drops — check-ins sync when you’re back online.

Don’t:

  • Check someone in without a scan or a manual lookup match.
  • Let guests use your phone to check themselves in.
  • Close the browser mid-shift if you can avoid it — you’ll stay signed in.

End of shift

  1. Reconnect to Wi‑Fi if you were offline and wait for pending check-ins to sync.
  2. Report any repeated scan failures to your organizer.
  3. Close the scanner tab when you’re done.
