Check-in

Check-in basics: scanning and manual entry

How to check guests in at the door using the scanner or manual search.

Opening the scanner

From the Attendees page in your event workspace, use the scanner control to switch to scan mode. On a mobile device (recommended for door staff), the camera activates automatically.

Scanning a QR code

  1. Point the camera at the guest’s QR code (from their confirmation email or invite).
  2. The scanner reads it instantly — no button to press.
  3. Green means check-in successful.
  4. Amber / yellow means this person was already checked in (duplicate attempt).
  5. Red means the code wasn’t recognized — try manual search.

Tips:

  • Hold the phone steady about 6–8 inches from the code.
  • Use the torch button to light up the code in dim venues.
  • The scanner works continuously — new codes are read as they appear.

Manual check-in

If a guest doesn’t have their QR code:

  1. Switch to Search mode.
  2. Type their name or email.
  3. Select the matching guest.
  4. Tap Check in.

Offline check-in

If the venue loses internet:

  1. The scanner continues working — scans are queued locally.
  2. You’ll see a pending count showing how many scans are waiting to sync.
  3. When connectivity returns, scans upload automatically.
  4. Duplicate detection still works within the offline queue.

Staff permissions

Staff accounts can access the scanner but not event settings. Organizers can manage everything. To add a staff member, go to OrganizationStaff.
