Check-in basics: scanning and manual entry

How to check guests in at the door using the scanner or manual search.

Opening the scanner

From the Attendees page in your event workspace, use the scanner control to switch to scan mode. On a mobile device (recommended for door staff), open aizupass.com/scanner or use the workspace scanner — the camera activates when you tap Start Scanner.

Share the door staff guide with volunteers — it is written for print and phones at the entrance.

Scanning a QR code

  1. Point the camera at the guest’s QR code (from their confirmation email or invite).
  2. The scanner reads it instantly — no button to press.
  3. Green means check-in successful.
  4. Amber / yellow means this person was already checked in (duplicate attempt).
  5. Red means the code wasn’t recognized — try manual search.

Tips:

  • Hold the phone steady about 6–8 inches from the code.
  • Use the torch button to light up the code in dim venues.
  • The scanner works continuously — new codes are read as they appear.

Manual check-in

If a guest doesn’t have their QR code:

  1. Switch to Search mode.
  2. Type their name or email.
  3. Select the matching guest.
  4. Tap Check in.

Offline check-in

If the venue loses internet, the scanner keeps working — scans queue locally and sync when connectivity returns. See Offline check-in and sync for what staff and organizers should expect.

Staff permissions

Staff accounts can access the scanner but not event settings. See Roles and permissions for the full comparison. To add a staff member, go to OrganizationStaff.
